You may not need a new system.
You may need more out of this one. Most independent retailers and dealers already pay for software that records everything they do and tells them almost nothing about what to do next. That’s usually a reporting and habits problem. Sometimes it really is the software. We’ll tell you which.
How this usually sounds.
Nobody calls to say their reporting is under-configured. They say something closer to this.
- “We pull everything into a spreadsheet anyway.”
- “There are two hundred reports in there and we run four.”
- “Nobody’s been trained on it since we went live in 2019.”
- “The person who knew how it worked left.”
- “We pay for a module we never turned on.”
- “Month-end takes two weeks and I still don’t trust the number.”
Every one of those is worth solving. Only one of them is solved by buying different software.
There are only two honest answers.
Be suspicious of anyone who only ever gives you one of them.
You’re under-using what you already own
The data is in there, but nobody was shown what a healthy number looks like, so nothing gets acted on. Replacing the software just moves that problem to a new screen and adds a year of disruption.
- Useful reports aren’t being run
- Staff rely on spreadsheets and workarounds
- Training hasn’t kept up with people’s jobs
- The setup no longer matches how you work
What that needs: reporting built on your own data, and people who know how to read it.
You’ve really outgrown it
The system can’t handle what the business has become: a second location, rental, a service department that’s doubled, reports the software was never built to produce. That’s real, and better habits won’t fix it.
- Something the business needs just isn’t there
- New locations are more than it can handle
- No setup change gets you what you need
What that needs: a conversion with someone on your side of the table. See how we help with that →
We don’t sell a system, and nobody pays us to recommend one.
No vendor commissions. No reseller agreements. No system of our own to protect. We do build software, but Vista reads whatever system you already run, so it gains nothing if you switch. If your current system is fine and the problem is how it’s being used, we lose nothing by telling you so.
That’s also why the other answer means something. When we say a business has outgrown its system, there’s nothing in it for us either way, and we’ve been inside enough system conversions to know what it costs when the decision’s made for the wrong reason.
A software vendor can’t write this page. The honest version costs them a sale.
What we actually look at.
We read exported files. There’s no connection to your system, nothing installed, and nothing written back to it.
| Area | What we look for |
|---|---|
| What it captures | Nearly always more than the business realizes. Cost, movement, vendor, department, history: already there, unread. |
| What it reports | Which reports exist, which get run, and which nobody trusts. Usually a short list from a very long menu. |
| What gets acted on | The real gap. A number nobody knows how to read is the same as a number nobody produced. |
| What’s missing | Where under-use ends and a real limitation begins. This is the part that decides the answer. |

Make the next decision with evidence.
1. Start with a conversation. Tell us what’s going wrong. Send an export if you can.
2. Find out which answer it is. Under-used or outgrown, and why, in plain terms.
3. Agree on the next step. Scope and price are agreed in writing before any paid work starts.
Where it goes from there.
Whichever answer you get, there’s a next step that isn’t “buy something.”
Reporting on your own data
Vista health snapshots and applications built on the numbers your system already produces, scored, ranked and explained.
Someone alongside you
Consulting on the parts of the operation the software can’t see: who decides what, and whether it actually gets done.
Teaching your people to read it
So the reports get run, understood and acted on, and the know-how doesn’t walk out the door when someone leaves.
More on getting answers from your system.
Start With the Decision, Not the Report
Before you replace the system that runs your business, change the question you are asking it.
Why More Reports Won’t Fix Your Month-End
The problem usually is not data. It is controls, timing, and who owns the follow-up.
A New System Won’t Fix What You Bring Into It
A system conversion copies your habits along with your data. The decisions that decide whether it works are made before configuration, and most of them are yours.

Start with a conversation. If you send an export from the system you have now, we will do a preliminary review and come back to you with next steps. Detailed analysis and findings are paid work, with scope and price confirmed in writing first.
