What we collect, and what we do with it.
This site collects very little. What follows describes exactly what it does collect, why, and how to have it removed — in plain language rather than the usual thousand words of boilerplate.

Who this covers
This policy applies to profitedgesystems.com. It does not cover any separate application, portal or reporting tool you may be given access to as a client — those are governed by the agreement you sign with us.
What we collect
Only what you choose to send us. The contact form asks for your name, email address, company, an optional phone number, what you are most interested in, and a description of the problem you are trying to solve. That is the whole list — name, email, company and the description are required, the other two are not.
The free downloads offered on our articles and on our Free Resources page ask for an email address and nothing else. It is stored in this website’s database, and the download link appears as soon as you submit it. We may also send you occasional emails with new worksheets or articles. Every one will carry a way to stop them, and you can ask us to remove your address at any time.
We do not record your IP address or browser details with your submission. The form is configured not to store them. There are no user accounts on this site, nothing is sold through it, and we do not ask for payment details anywhere.
Why we collect it
To reply to you, and to have a useful first conversation rather than spending it establishing basic facts. That is the entire purpose. We do not build profiles, we do not score leads against a model, and we do not use what you send us to target advertising.
If you send us a sample export
Before any work begins we may look at a sample export from your system, to see what format it is in, which fields it contains and what condition the data is in. If you send one, this is what happens to it.
Nothing we use connects to your system. We have no login to your DMS, point of sale or accounting package, no remote access, and no live link to anything you run. Everything we do is done on a file you chose to send us.
It is worked on with ordinary business software. The file is stored in our Microsoft 365 and Google Workspace accounts and opened in spreadsheet and analysis tools, some of which are AI-assisted. That means software processes the file. It does not mean anyone or anything is reaching into your business.
We keep it for up to 30 days after we have come back to you, and then delete it. You can ask us to delete it sooner at any point and we will. If we go on to work together, what happens to your data from that point is covered by the agreement you sign rather than by this policy.
If anything from it is used in a comparison, it is used anonymously. Comparison figures we use in our client work come from two places: published industry and trade-association data, and anonymized figures from businesses using our software. Anonymized means no business name and no individual record — a comparison is a range or an average across at least five businesses, with no single business making up more than half of any group. You can tell us not to include your figures, before or after you send them, and it changes nothing about what you get back.
Where it goes
Submissions are stored in this website’s own database, hosted by our web host, and sent to us by email. They are read by the person who would actually do the work. There is no sales team and no customer-relationship system passing your details around.
We do not sell, rent or trade your information, and we do not share it with anyone else except where we are legally required to.
How we measure the site
We want to know which articles are read and where people give up, so three services run on these pages. Google Analytics counts visits and records which pages were viewed, roughly where in the world the visitor is, and which site or search sent them. Microsoft Clarity records anonymized session replays and heatmaps — how far down a page people scroll and what they click — which is how we find out that a page is not working. Our web host, GoDaddy, runs its own visitor-counting script on every page; that one is part of the hosting and we cannot switch it off. All three process your IP address in order to work. None of them is told your name or your email address, and nothing you type into a form is passed to any of them. We do not run advertising and we do not allow anyone to advertise here.
Cookies
A visit to this site sets seven cookies: two for Google Analytics and two for Microsoft Clarity, which between them tell those services whether you have been here before, and three set by our hosting platform’s own visitor counter. WordPress sets a few more, but only for people who log in to administer the site. There are no advertising cookies on this site. Our pages also load fonts from Google Fonts, which means Google’s font servers see your IP address when a page is drawn. If you would rather not be measured at all, Google publishes a browser opt-out at tools.google.com/dlpage/gaoptout, and any browser setting or extension that blocks trackers will stop them.
How long we keep it
We keep contact form submissions for two years. After that they are anonymized, so the enquiry remains as a count but stops being about you. Email addresses given for the free downloads are kept until you ask us to remove them. If we go on to work together, any information you give us during that engagement is covered by our agreement with you rather than by this policy.
Asking for a copy, or asking us to delete it
Email hello@profitedgesystems.com and ask. We will send you what we hold, correct it, or delete it. You do not need to give a reason, and asking will not affect how we deal with you.
Changes
If this policy changes, the date at the top changes with it. We will not broaden what we collect and leave the date alone.
